Administration Officer

Tamborine Mountain Arts Collective is looking for a skilled and enthusiastic Administrative Officer to join the Board, our Management Committee. TMAC is a small but growing, not for profit, creative arts organisation and an incorporated association, based in Tamborine Mountain. 

Over the last three years, with a new Management Committee, TMAC has built a new vision and mission and is at an exciting stage of growth, attracting more diverse and younger artists and forming positive partnerships with local arts businesses and art studios in the arts community. 

Role Overview: Working collaboratively with the President and the Board, as an Administrative Officer you’ll play a pivotal role in ensuring the smooth operation of our administrative functions. You’ll be a key contributor to supporting the Management Committee in executing our mission of fostering artistic endeavours and community engagement. This is a voluntary role at this stage. TMAC plans to seek funding for this position in the future.

Title: Administration Officer

Working Collaboratively with: President and Board of Directors

Hours:  Part time: 5 – 7 hours a week, or fortnight, as well as monthly evening board meetings (Wednesdays) and occasional evening or weekend arts events. Starting end of January 2024.

Location: Flexible/work from home.

Responsibilities

  1. Administrative Support: Guided by the President, provide comprehensive administrative assistance to the Management Committee, including scheduling meetings, booking meeting rooms, managing calendars and assisting with our Strategic Planning and documentation.
  2. Documentation and Record-Keeping: Maintain accurate records, taking minutes at Board meetings, managing and maintaining the Google Drive filing system, database, ensure confidentiality and proper handling of sensitive information.
  3. Communication Liaison: Liaising with the President and reporting at Board Meetings, serve as a point of contact for internal and external communications, including handling emails, enquiries and phone calls. 
  4. Event Coordination: (Optional) Assist in the planning, promotion and coordination of events, workshops and exhibitions. Help with logistics, venue arrangements, and participant coordination.
  5. Financial Assistance: liaise with the Treasurer.
  6. Grant and Fundraising Support: Aid in grant applications, fundraising initiatives, and donor management by providing administrative support and documentation as needed.
  7. Volunteer Coordination: (Optional) Assist in recruiting and coordinating volunteers, ensuring a positive and engaging experience for those contributing their time.

Qualifications, Experience and SkillS

  • Proven experience in administrative roles, preferably within a not for profit or arts-oriented organisation. 
  • Strong organisational skills and attention to detail.
  • Personable communication, ability to liaise, collaborate and negotiate with a range of people and teams. 
  • Excellent written communication skills, familiar with formal reporting, letters and some promotion writing.
  • Proficiency in office software (Microsoft Office, Google Drive and Workspace, Canva)
  • Ability to multitask, prioritise tasks efficiently, working independently and collaboratively within a team.
  • Desirable: Experience in not for profit organisation governance, strategic planning and grant writing.
